Purpose of the Role

The Operations and Administration Assistant is responsible for ensuring the efficient functioning of Kopanang’s administrative systems, basic financial processes, and production coordination. The role supports organisational sustainability by improving operational efficiency, strengthening financial tracking, and ensuring reliable production outputs.

Key Functional Areas:

1. Administration & Systems Management

  • Maintain structured filing systems (digital and physical)
  • Track orders, inventory, and production records
  • Support reporting requirements (management, donors, board)
  • Manage internal coordination and scheduling

2. Financial Administration (Bookkeeping Support)

  • Capture financial transactions accurately
  • Maintain records of invoices, expenses, and payments
  • Track artisan payments and supplier costs
  • Support reconciliation and reporting processes
  • Liaise with accountants where required

3. Production Planning & Operations

  • Develop and maintain production schedules
  • Allocate work and monitor progress against deadlines
  • Track stock levels, materials, and completed goods
  • Support quality control processes
  • Identify and resolve production bottlenecks

4. Team Coordination & Supervision

  • Provide clear, structured guidance to artisans
  • Ensure accountability and adherence to timelines
  • Foster a respectful, productive working environment
  • Balance authority with encouragement and support

Minimum Requirements:

  • 3+ years experience in admin / operations / bookkeeping support
  • Proven ability to manage systems and processes
  • Experience working with teams or coordinating people
  • Strong Excel and data management skills
  • Valid driver’s license and own reliable vehicle (advantages)

Preferred Requirements:

  • Experience working in social enterprise or production type business
  • Experience with production environments / small manufacturing / craft sector
  • Familiarity with SAGE or Sage Evolution 200
